THE ROLE:

We are seeking a Contract Admin Officer to join our Defence Base Services team at RAAF Edinburgh, working a couple days at the Broadspectrum office in South Terrace. This role will be on a casual basis for 3-6 months working 38 hours per week from Monday to Friday.

The Contract Admin Officer provides administrative support to site operations by processing workflow transactions in Broadspectrum's work order management system (SAP).

DUTIES INCLUDE BUT NOT LIMITED TO:

  • Service Order Triage - confirming work requests are within contract scope.
  • Monitor daily work list generated from SAP and ensure targets for processing time and accuracy are met in accordance with established KPI's.
  • Perform Data Integrity Checks (DIC) - Utilise SAP reporting to review, correct and update specified Service Order fields that are mandatory for billing acceptance.
  • Review Service Orders associated with Survey & Quote (S&Q) / Alternative Proposal (AP) requests with respect to billing type in accordance with commercial guidelines and SAP administrative process.
  • Follow up Service Order completions, overdue items, on time performance (OTP).
  • End to End Service Order system administration for Service Orders.
  • Effectively communicate with team members, line management and other key stakeholders that interface with the Hub.


WHAT'S REQUIRED FOR THE ROLE?

  • Demonstrated experience in collaborative and consultative processes.
  • MS Office (MS Word / Excel / Outlook) Relevant experience within a Facilities Maintenance Role.
  • Prior experience with a maintenance management or CRM system (SAP).
  • Data entry speed & accuracy.
  • Communication skills (written/verbal).
  • Ability to interpret data and information.
