Ventia is seeking an Office Administrator to join the Across Government Facilities Management Arrangement (AGFMA) contract. This is a casual position, working Monday to Friday, based at the AGFMA Head Office on Wakefield Street in the Adelaide CBD.
In this role, you'll provide administrative support to the General Manager and the wider Ventia team, assist with coordinating office supplies, and ensure IT support is available when needed. You'll also help organise corporate events and maintain a clean and organised office environment. Other responsibilities may include managing mail distribution, greeting visitors, and ensuring that kitchen and office supplies are consistently stocked and replenished.

Key Responsibilities (include but are not limited to):
- Office Operations: Oversee daily office functions, including managing office services such as filing, photocopying, and ordering supplies; maintaining cleanliness; and preparing meeting rooms, including catering as needed.
- Mail & Visitor Coordination: Distribute incoming mail, check the mailbox daily, greet visitors, ensure they sign-in and escort them as needed.
- IT & Supplies Coordination: Coordinate basic IT support with the IT Hub technician when required. Order and maintain office supplies, stationery, first aid kits, fire extinguishers, and uniforms.
- New Starter & Regional Office Support: Assist with IT setup for new starters. Manage and replenish regional office supplies, raise Purchase Orders, and ensure invoice reconciliation and goods receipt.
- Administrative Support to General Manager: Provide administrative support by reconciling expenditures (SAP Concur), booking travel, managing calendars, scheduling meetings and preparing reports and presentations.
About you:
- Demonstrated experience is a similar role, coordinating office operations.
- Intermediate to advanced skills in PowerPoint, TEAMS, SharePoint, and financial reporting databases.
- Strong organisational skills with the ability to manage multiple tasks for various stakeholders while meeting strict deadlines.
- Excellent written and verbal communication skills, with the ability to collaborate effectively and maintain discretion.
